2. What we collect and why
Visitors to this website
Our hosting provider keeps standard server logs, which include your IP address, the pages you request and your browser type. We use them for security and to keep the site running. This website does not use advertising or analytics cookies.
People who contact us
If you send us a message through the contact form, by email or by phone, we collect your name, company, email address, phone number, fleet size and what you tell us. We use this to reply to you and to keep a record of the conversation. Our lawful basis is our legitimate interest in answering enquiries and running our business, or steps you ask us to take before entering into a contract.
Customers and portal users
If you sign up to OperatorSafe we collect the details needed to run your account: names, work email addresses, job roles, login details, billing details and a record of how the service is used. Our lawful basis is performing our contract with you, and our legal obligations such as keeping accounting records.
3. Who we share data with
We share personal data only with organisations that help us run OperatorSafe, under written terms that protect it. These include our website hosting provider, our email provider, and the payment and direct debit provider we use to take subscription payments. We may also disclose data where the law requires it. We do not sell personal data.
4. How long we keep data
- Enquiries that do not lead to a contract: up to 12 months.
- Customer account and billing records: for the life of the contract, then up to 6 years for accounting and legal reasons.
- Server logs: for a short period set by our hosting provider.
5. International transfers
We aim to keep personal data within the United Kingdom. If a supplier ever processes data outside the UK, we will make sure an approved safeguard is in place, such as the UK International Data Transfer Agreement or an adequacy decision.
6. Driver and fleet data held for operators
When an operator uses OperatorSafe to store driver walkround checks, defect reports and tachograph downloads, the operator decides what is collected and why, so the operator is the data controller and we are its processor. We process that data only on the operator’s instructions and under data processing terms agreed when the operator signs up. Drivers who have questions about this data should contact their employer first.
7. Your rights
Under UK data protection law you can ask us to access, correct, delete or restrict the use of your personal data, to object to our use of it, and to receive a copy of data you gave us. To use any of these rights, contact us using the details above. We will reply within one month.
If you are unhappy with how we handle your data, please tell us first. You also have the right to complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113.
8. Security
We use appropriate technical and organisational measures to protect personal data, including encrypted connections (HTTPS) and access controls. No system is completely secure, so please take care with what you send us.
9. Cookies
See our cookie policy for details of the cookies we use.
10. Changes to this policy
We may update this policy from time to time. The date at the top shows when it was last changed.
